Hosting a Japanese company delegation at our college — advice for making a good impression?

We’re a group of students learning Japanese (N5 level) through an industry collaboration program focused on Agentic AI and innovation. A Japanese delegation from the partner company is visiting our campus, and we’re planning a ~2 hour interaction session.

Current ideas include:

  • welcome ceremony,
  • student testimonials,
  • AI project demos,
  • cultural exchange activities,
  • Japanese-Hindi fusion performance,
  • Q&A with delegates,
  • origami appreciation gifts.

We want the event to feel professional, respectful, interactive, and culturally thoughtful — not overly formal or chaotic.

For people who’ve hosted Japanese delegates/corporate visitors before:
