Taking money from India to Japan and the visa application after getting COE

Hi all, I posted recently that I will be returning to Japan for work after a year break in my home country India. I will be getting my COE soon, maybe by next week so I have a few questions but I'm not sure if the first one belongs here or at r/JapanFinance.

I read online that we can need to declare at the customs if we are carrying cash of more than US$5000 or ¥1,000,000. What if I carry US$4900 and ¥200,000 cash? The ¥200,000 cash is roughly equal to US$1360 and US$4900 is roughly equal to ¥720,000. So it means that I am carrying cash equivalent to $6260 or ¥920,000. In this case do I need to declare cash as I am exceeding the amount of US$5000 that is allowed without declaration? How does this work? I don't mind declaring the cash at the airport but I find it too bothersome. I can exchange cash at Delhi airport but I don't trust them. Pretty sure they will rip me off.

Second thing I need to ask is about the visa application at the Japan embassy at New Delhi after my sponsor sends me COE. Previously when I went to Japan (on student visa) my travel agent did the procedures for me but this time I will have to do it myself. After getting the COE do I need to call/send email to the authorities and ask for the documents that I need to submit for visa application or will my sponsor contact them and inform me about the documents that need to be submitted?

I have seen people submit stuff like dummy ticket, hotel reservation tickets, ITR returns etc. Does this apply to tourist visas only or for work visas also? I plan to book air ticket and make hotel reservation for 2 weeks (before moving to an apartment) only when my visa is done. When I returned to India in 2024 I spent the year helping my family business and applying for jobs in Japan so I don't have a ITR file. What do I do if they ask me for one?
